You Don't Have "A Few Logos." You Have
56 Files You Haven't Met Yet.

Every young brand thinks they're too small for a DAM. Then they change one wordmark — and spend two days hunting down the damage. Here's the math nobody runs.

My husband is obsessed with the World Cup. Aren’t we all, right now.

So I’m half-watching, and instead of the football, my brain goes where it always goes — content management. Look at the FIFA logo. Just the logo. FIFA sends it to host stadiums and co-sponsors, probably from one tidy download page. Partners grab it. Easy.

Then I kept pulling the thread.

Take one stadium. Now that logo goes on their website. And printed banners. And signage. And ticket confirmation pages, maybe. The printer needs it — oh, but the printer needs it much bigger, and the download page only has the small one. So someone messages FIFA. Wait, they don’t have the vector file either. (For the record: the format that blows up to billboard size without turning into mush is a vector file — SVG, EPS, AI, or PDF. A PNG at logo size will pixelate the second you scale it for print. Just so we’re clear on what everyone’s actually hunting for.)

So the request lands in the inbox of — what, a hundred coordinators? And the hunt begins. Maybe someone thinks to ask for the print-size file to be added to the sponsor page. Maybe they don’t. Maybe they do, but the person who owns that page is busy with ten more urgent pages. And on it goes — the time and effort multiplying with every hop.

For FIFA? Whatever. An international megabrand can eat that friction all day. No partner is going to risk recreating the mark themselves, and if they botch a crop, a fan notices and someone gets a stern email. The brand survives.

For a young brand, that same friction is fatal.

You think you have three files. You have fifty-six.

Here’s where I lose people. “Leigh Ann, we’ve got a couple logos we throw on Instagram. We do not need a DAM.”

Maybe not. But let’s do the math real quick.

One logo isn’t one file. It’s:

  • 2 colorways — full color and a reversed/white version
  • × 4 sizes — social, web, small print, billboard
  • × 3 formats — vector, PNG, JPG

That’s 24 logo files before you’ve made a single ad.

Now one ad. Just one design. Except:

  • Logo lower-left, logo lower-right — 2 positions
  • × 2 logo colorways
  • × 3 formats

12 ad files. Do the same for one banner ad — another 12. Then crop your two hero creatives for Instagram square, portrait, and story, plus a Pinterest pin — 8 more crops.

Add it up:

24 + 12 + 12 + 8 = 56 files.

Fifty-six living assets. And in your head, you made one logo, one ad, one banner. Three things. The reality is ~19 times that. And this isn’t even a campaign yet.

The creation part? That’s the easy part. Your designer is heads-down, focused, churns them all out beautifully. No problem there.

The problem is everything that happens after the file is made.

Then something changes. Something always changes.

You redesign your storefront and reposition the logo — but you can only find the version with the logo in the lower-right. Someone has to go dig up the lower-left. Fifteen minutes, gone.

Now the big one. You tweak the wordmark. Refresh a color. Rebrand.

Every one of those 56 files carries the old logo. Every single one has to be found, redesigned, and retired. That’s three touches each:

  • Find it — spelunking through drives, inboxes, and old Slack threads: ~5 min
  • Redesign it — open, swap, re-export: ~8 min
  • Retire it — replace the old version everywhere it’s lurking: ~2 min

56 files × 15 minutes = 840 minutes. Fourteen hours. Nearly two full working days — to change one wordmark. (Conservative, by the way. That five-minute “find” assumes you actually find it on the first try. You won’t.)

And 14 hours is the good day — the one where everything goes smoothly. It gets worse when you miss one. An old file resurfaces three weeks later in a live ad. A partner gets tired of waiting and recreates the mark themselves in slightly-wrong blue. Now you’re not just spending time — you’re cleaning up brand damage. For a young company on a tight budget, you can’t afford the hunt or the mistakes it causes.

I’m not theorizing here.

As an early employee at one of the first cloud-based DAMs, I spent years onboarding teams — the huge ones and the tiny ones. The pattern never changed: nobody thinks they have an asset problem, because on any single day, it’s just fifteen minutes. It’s the multiplication they don’t see. Three source designs quietly become fifty-six files, and fifty-six files quietly become two days you’ll never bill for.

You don’t have a design problem. You have a find-it, format-it, retire-it problem. And no amount of your designer being brilliant fixes that — because it was never their job.

  • Find every variant of the same creative — the lower-left and the lower-right, instantly, without the scavenger hunt
  • Generate the file formats on demand — hand off vector when the printer asks, PNG when the web asks, no re-export marathon
